Publication Workflow

Optimization

for Technical Teams

Overview

A biotechnology company needed a more efficient and competitive way to produce one-page research summaries for clients. Their previous documents lacked consistency, visual clarity, and professional polish, making it difficult to stand out against larger competitors with more advanced publishing capabilities. I served as Creative Lead and was responsible for designing an elevated, highly functional template system that enabled internal analysts to generate client-ready deliverables quickly and accurately.

The Challenge

How do we elevate one-page reports to reflect premium quality and industry expertise?

  • How can analysts with varying design skills generate polished outputs under tight timelines?

  • How can the system be flexible enough for digital publishing, print, and email distribution?

The company needed a solution that improved perceived value, reduced time-to-market, and aligned with industry standards without requiring new software investments.

Strategic Approach

I began by meeting with stakeholders to understand workflow constraints, output needs, and client expectations. I analyzed competitor materials and adjacent industry standards to identify opportunities for differentiation in layout, hierarchy, and messaging.

To ensure accessibility and ease of use across all skill levels, I chose Microsoft Word as the foundation for the system. This allowed the company to:

  • Create, edit, and export files in multiple formats (PDF, JPG, PNG)

  • Avoid learning curves tied to advanced design tools

  • Maintain full control of content internally

  • Ensure consistent formatting across all departments

The objective was to create a premium, scalable design system that did not rely on specialized software.

Creative Solution

I developed a suite of stylized document templates featuring:

  • Clear information hierarchy

  • Professionally structured layouts

  • Brand-aligned color and typography systems

  • Locked design elements to protect consistency

  • Editable content zones for rapid analyst input

These templates allowed analysts to plug in data, research findings, and product information while preserving a high-end, polished aesthetic with minimal effort.

The system was designed for:

  • Client presentations

  • Product launch materials

  • Email distribution

  • Print and publication workflows

  • Internal sharing with leadership and partner teams

Outcome

The company gained a scalable, easy-to-use publishing framework that:

  • Significantly improved the professionalism of their client-facing materials

  • Reduced turnaround time for client one-pagers

  • Increased internal adoption due to ease of use

  • Elevated brand perception and competitive positioning

  • Simplified multi-channel distribution through flexible export formats

Most importantly, the client was extremely satisfied with how accessible, fast, and polished their new deliverables became.
